01Introduction

ETDIP (Eco Tourism Development in Pakistan) organises the Galiyat Inter-School Sports, Heritage & Eco-Tourism Championship in academic collaboration with Hazara University's Department of Tourism & Hospitality, with institutional support from the Galiyat Development Authority (GDA) and media partnership from Pakistan Lens. This policy explains what information we collect from schools and participants who register for the programme, how it is used, and how it is protected.

02Information We Collect

When a school registers for the programme, we collect:

• School name and the city package selected (Karachi, Lahore, or Islamabad)
• Principal's name, phone number, and email address
• Sports Coordinator's name, phone number, and email address
• Number of participating students and accompanying coaches
• Sports categories the delegation is participating in
• Any special requirements or notes voluntarily shared (e.g. dietary or medical considerations)

We do not collect individual student names, ID numbers, or personal details directly through the registration form — this information, where required for logistics (e.g. participant lists, ID cards), is coordinated directly with the school separately.

03How We Use Your Information

Information submitted through registration is used to:

• Process and confirm your school's delegation registration
• Communicate with the listed Principal and Sports Coordinator via phone, email, or WhatsApp regarding confirmation, logistics, and payment
• Coordinate transport, accommodation, and tournament arrangements with our operational partners
• Send programme updates, safety briefings, and pre-departure information
• Maintain internal records for the current and future editions of the programme

04Information About Minors

The programme is designed for school students under the age of 18. Registration is submitted by the school, acting on behalf of its students and with the appropriate consent of parents or guardians as required by the school's own policies. ETDIP relies on participating schools to obtain any necessary parental or guardian consent prior to registering students for travel, participation, and photography as part of this programme.

05Sharing With Third Parties

We do not sell or rent your information to third parties. Information is shared only where necessary to deliver the programme, including with:

• Hazara University's Department of Tourism & Hospitality — for on-ground event coordination and student supervision
• Galiyat Development Authority (GDA) — for venue and local logistics coordination
• Pakistan Lens — for official event photography and media coverage
• Our payment processing partner — for processing registration payments securely (see Section 6)
• Transport and accommodation providers — limited to information required for bookings (e.g. Elite Hotel Nathia Gali, coaster operators)

06Payment Information

Card and payment details are collected and processed directly by our banking payment partner through their secure, PCI-DSS compliant checkout. ETDIP does not collect, store, or have access to your full card details at any point in the payment process.

07Photography & Media Coverage

As part of the programme, official photography and drone coverage is captured by our media partner, Pakistan Lens, for use in event documentation, promotional materials, and future editions of the programme. Schools registering students for this programme are asked to ensure appropriate parental/guardian consent has been obtained for participation in such coverage. Schools may contact us if they wish to raise any concerns regarding specific students and media coverage.

08Data Security

We take reasonable technical and organisational measures to protect the information you share with us, including restricting access to registration data to authorised ETDIP staff involved in organising the programme, and using secure, encrypted connections (SSL) on our registration and payment pages.

09Data Retention

We retain school and contact information for as long as necessary to deliver the current programme, respond to any post-programme queries, and — unless a school requests otherwise — to share information about future editions of the programme.

10Your Rights

Schools may contact us at any time to:

• Request access to the information we hold about their school and contacts
• Request correction of inaccurate information
• Request deletion of their information, where we are not required to retain it for legal, financial, or operational reasons
• Opt out of future communications about upcoming programme editions
