Refund & Cancellation Policy

01Payment Terms

The full participation fee is required at the time of registration. Registration for a delegation slot is only confirmed upon receipt of full payment through the designated payment channel shared by ETDIP.

• Payments are accepted via the secure payment link shared after registration, processed through our banking partner.
• Partial payments are not accepted as a substitute for confirmed registration; a slot is held only once payment is received in full.
• Airline reservations, hotel bookings, and other operational arrangements commence only after payment confirmation — schools should account for this when planning their registration timeline.

02Registration Confirmation

Delegation slots are limited and allocated on a first-payment basis. Registrations may close earlier than the published deadline if all available slots are filled.

03Cancellation by Participant

Should a school need to withdraw a participant or its full delegation after payment, the following applies:

• Before the registration deadline: Cancellation may be considered, with any eligible refund issued after deduction of non-refundable third-party charges already incurred on the participant's behalf (see Section 4).
• After the registration deadline: No refunds are applicable once the registration deadline has passed and operational bookings (flights, hotel rooms, transport, catering) have been finalised on behalf of the delegation.

04Refund Eligibility & Deductions

Where a refund is approved, the amount returned will reflect the original payment less any costs already committed on the participant's behalf, which may include:

• Airline ticketing charges (for Karachi Full Experience Package registrations, where air travel has already been booked)
• Hotel and accommodation charges committed to Elite Hotel Nathia Gali
• Any other non-refundable third-party operational costs already incurred

Approved refunds are processed back to the original payment method within a reasonable timeframe following approval. Processing times may vary depending on the payment method and issuing bank.

05Replacement Participants

As an alternative to cancellation, schools may nominate a replacement participant in place of a student or coach who is unable to attend, subject to feasibility and confirmation from the organising team. Replacement requests must be submitted before the verification date communicated by ETDIP ahead of the programme.

06Exceptional Circumstances

Exceptional cases — including medical emergencies or other circumstances beyond a participant's control — will be reviewed individually by the ETDIP team. Schools are encouraged to contact us as early as possible in such situations, along with any relevant supporting documentation, so that we can assess the request fairly.

07Changes or Cancellation by ETDIP

In the unlikely event that ETDIP needs to postpone or cancel the programme due to circumstances beyond our control (including but not limited to severe weather, government restrictions, or venue unavailability), affected schools will be notified promptly and offered either a full refund or the option to transfer their registration to a rescheduled programme date, where available.
